  • Core institutional assets. Form 990s, audited annual financial statements, Single Audit reports, strategic plans, staff resumes and bios, board rosters, catchment and needs studies, letters of support, MOUs and past winning proposals.
  • Dynamic indexing. Every page is tagged by topic (organizational capacity, past performance, fiscal controls, equity initiatives, technical expertise, evaluation) and by fiscal year, so the right evidence surfaces for each rubric criterion.
  • Continuous updates. Upload this year's 990 or annual report and the institutional baseline refreshes across every open and future proposal. Superseded figures are flagged in drafts that still use them.
  • Verification safeguards. Every generated sentence carries a citation tag to its exact source document and page. Claims without a source are blocked, not written.
  • Funder history. Past awards, reviewer comments, award terms and reporting history live beside the documents, so renewals start from what the funder already knows.
  • Access controls. Restrict executive compensation, audit findings or clinical data to named roles. Drafts written by restricted users still cite the restricted page without exposing it.

How teams roll it out

  1. step 1/4

    Upload the core set

Three years of 990s, the latest audit, board roster, staff bios and five to ten past proposals. Most teams finish in one afternoon.

  2. step 2/4

    Review the index

ELIXIR CONSUMERS proposes topic tags and fiscal years. Confirm or correct them; corrections train your tenant only.

  3. step 3/4

    Fill the gaps

The readiness report lists missing evidence, such as a baseline for an outcome you claim or a lapsed MOU.

  4. step 4/4

    Keep it current

Connect Google Drive, OneDrive or your CRM so new annual reports and outcome exports flow in automatically.

“Our history used to live in four people's heads and a shared drive nobody trusted. Now the vault is the first place anyone looks, and drafts cite the right fiscal year every time.”
Rosa Delgado-WhitfieldDirector of Institutional Giving, Cedar Valley Literacy Council

What Knowledge Vault does not do

  • It does not invent figures to fill a gap; it reports the gap.
  • It does not share any document across tenants or with model providers for training.
  • It does not change your source files; the vault indexes copies.

ELIXIR CONSUMERS is authoring and administrative management software for grant seekers. ELIXIR CONSUMERS does not guarantee grant awards or funding approvals. Final submission review, financial disclosures and institutional certifications are the sole responsibility of the applicant organization.

Questions, answered

What should we upload first?

Start with the last three Form 990s, your most recent audited financial statements or Single Audit, board roster, key staff bios and five to ten proposals that were funded. That set answers most capacity and past-performance criteria.

Can we upload scanned PDFs?

Yes. Scanned documents are run through OCR and each extracted figure is linked to the page image, so reviewers can check the original.

Who can see sensitive documents?

Admins assign document-level permissions. Restricted documents can still be cited in drafts, but only authorized roles can open them.
